We all know podcasting has become a powerful way to connect, share stories and build a brand. But what’s not always talked about is the sheer amount of behind-the-scenes work that goes into getting an episode released.

If you're running a podcast, especially if it's alongside a busy day job or business, you’ll know it’s not just about hitting ‘record’. There’s research, scheduling, coordination, editing, uploading, promoting… and yes, a good chunk of admin.

That’s where a virtual assistant can step in and make life a lot easier.

Creating a podcast might start with an idea and a microphone, but it quickly becomes a multi-step project. The admin can include things like:

  • Liaising with guests
  • Scheduling interviews
  • Sending out reminders and joining links
  • Collecting bios and headshots
  • Preparing show notes or episode summaries
  • Uploading to hosting platforms
  • Scheduling social media
  • Following up with guests afterwards

And that’s before you even think about managing your emails and planning future episodes.

On their own, these tasks might seem small. But they quickly add up – especially when they’re squeezed in between client work, calls, and everything else on your to-do list.

One of my clients runs a niche podcast called MedTech for Beginners . It's a brilliant show that helps listeners bring their medical innovation to market, but like many podcast hosts, she felt the admin side had the potential to eat into her time and headspace.

That’s why she brought me in.

This is what she had to say about the support she received and the value she derived from it:

Why consider a Virtual Assistant for your Podcast?

If you’re a podcaster – or thinking about becoming one – you might not need a full production team, but you might really benefit from a second pair of hands.

Delegating the admin means you can spend more time on content, interviews and audience engagement – not chasing up guest bios or digging through your inbox for scheduling links.

A VA can keep track of your episode pipeline, manage guest communications and make sure you’re not scrambling at the last minute, ensuring you and your guest(s) start each episode relaxed and fully focused.

When you’ve got someone quietly keeping the wheels turning, it’s much easier to stick to a regular schedule, which is key to growing your audience.

Knowing that someone else has eyes on the detail can take a huge weight off your shoulders, especially if podcasting is something you do alongside running a business.

Some podcasters just want help for a specific launch or busy period. Others prefer ongoing, steady support. Either way, it’s about finding out what works for you.

Is it worth it financially?

Let’s be honest – podcasting doesn’t always pay the bills.

For some, it’s a passion project or a marketing tool. For others, it’s part of a long-term content strategy.

If you're not yet monetising your podcast (or only doing so in small ways), the idea of paying for support might feel like a stretch. However, it’s also worth asking: what’s the cost to you and your business of doing everything yourself?

If you’re spending hours every week on admin that drains your energy, it might be smarter to outsource the bits that aren’t the best use of your time.

Even a few hours of VA support a month can take a noticeable weight off your shoulders and help you keep your podcast running without it taking over your life – or, importantly, the rest of your business.

If you’re feeling bogged down or struggling to keep everything ticking over, it might be worth considering some podcast support. A virtual assistant can take the pressure off, help you stay consistent, and free you up to focus on the creative and strategic side.

You don’t need to go it alone.
